Seamatch Asia Limited (“Seamatch”, “we”, “us”) respects your privacy and is committed to protecting your personal data in accordance with the Personal Data (Privacy) Ordinance (Cap. 486) (“PDPO”) and its Data Protection Principles.
This Privacy Policy Statement (“PPS”) explains how we collect, use, hold, and disclose personal data in connection with our website, recruitment and staffing services (including T-Contract / government contract staffing), contractor care, and related HR services.
When we collect personal data from you, we will also provide a Personal Information Collection Statement (“PICS”) where required (for example, when you submit a CV or contact form).
2. What personal data we collect
Depending on how you use our services, we may collect:
- Identity and contact details (name, phone, email, address, LinkedIn or similar profile URL)
- Career information in CVs / resumes and application forms (education, work history, skills, certifications, salary expectations, availability, references)
- Identity / right-to-work information where needed for placement (for example work visa status — only as required)
- Communication records (emails, WhatsApp/phone notes, chat messages if you use our website chat)
- Technical data (IP address, browser type, device, pages visited, cookies / similar technologies)
We generally do not require sensitive data (for example health or religion). Please do not include such information in your CV unless we specifically ask and it is necessary.
3. How we collect personal data
We may collect personal data when you:
- browse or use our website
- submit a CV / apply for Hot Jobs, T-openings, or other vacancies
- contact us (forms, email, phone, WhatsApp, chat)
- use referral or other job-seeker programmes
- become or apply to become a contractor / employee placed through us
- interact with us as a client / employer contact
We may also receive personal data from referees, clients, public sources, job boards, or other third parties where lawful and relevant to recruitment.
4. Purposes of use
We use personal data for purposes including:
- assessing suitability for employment / contract / T-Contract openings
- contacting you about opportunities, interviews, and placements
- matching your profile to client / government department requirements
- payroll, MPF, onboarding, and contractor administration (if engaged)
- responding to enquiries and providing customer service
- improving our website, tools (for example job matching), and services
- complying with legal, regulatory, audit, and tender/contract obligations
- preventing fraud, misuse, and protecting our rights
If we intend to use your data for a new purpose (for example direct marketing), we will obtain your consent where required by law.
5. Disclosure / transfer
We may disclose personal data to:
- prospective employers / clients / government bureaux and departments (for roles you are considered for)
- our service providers and contractors who process data for us (for example hosting, email, cloud storage, chat, IT support), under confidentiality obligations
- professional advisers, insurers, and auditors
- regulators, law enforcement, or other parties where required or permitted by law
Some processors may be located outside Hong Kong. Where data is transferred outside Hong Kong, we will take steps required under the PDPO to help protect your data.
6. Retention
We keep personal data only as long as needed for the purposes above, and for legal, accounting, dispute, and business-record needs. As a guide (may vary by case):
- unsuccessful applications / general talent-pool CVs: typically up to 24 months from last contact, unless you ask us to delete sooner or agree to a longer talent-pool period
- successful placements / contractor records: for the engagement period plus a period required by law / contract
7. Security
We use reasonable technical and organisational measures to protect personal data against unauthorised access, loss, or misuse. No method of transmission or storage is completely secure.
8. Cookies and similar technologies
Our website may use cookies or similar tools for essential operation, analytics, and improving user experience. You can control cookies via your browser settings; disabling some cookies may affect site functions.
9. Your rights
Under the PDPO, you may request:
- access to your personal data we hold
- correction of inaccurate data
You may also ask us to stop using your CV for future opportunities (subject to legal retention needs).
